Collaborating with ACE

Asheville Campus Entertainment (ACE) enjoys collaborating with different organizations and departments across UNC Asheville. Collaborating with ACE is not as difficult as you may think it might be. A little preparation from your organization/department will ease the process. Timing and advanced planning on your organization’s part is essential. Read the information below to get started.

ACE Collaboration Guidelines

  • To be a true collaboration, both ACE and the organization/department must have a hand in planning, advertising, and execution of the event. ACE does not consider a purely monetary donation or social media post to be a collaboration. ACE is not a funding source and does not give programming grants to other groups.
  • ACE only works with registered student organizations and UNC Asheville departments.
  • The ACE Executive Board and General Members make all final decisions regarding collaboration requests.

Tips for Getting Started

  • You need to know exactly what your Collaboration Request is (details are important) and what exactly you want from ACE (marketing, money, staffing, etc.).
  • Don’t know where to get started? We’re here to help! Join us at one of ACE’s monthly Collaboration Meetings, held in the ACE Office (Highsmith 219) on the first Tuesday of every regular semester month to learn more about collaborating with ACE and get feedback on your ideas.
  • Decide which ACE Committee your organization wants to collaborate with, or if you would prefer to work with the holistic organization. Picking the correct one is important so you and your organization do not waste precious time.
  • You must contact ACE anywhere from two to three months or more in advance for a great collaboration to work. ACE plans all programs a semester in advance, so the earlier you can make a request, the better. Requests made less than four weeks before the desired date will be rejected due to insufficient time, budget, and resources to properly plan, staff and advertise the requested collaboration.
  • Preparing a proposal and meeting with the ACE Executive Board is always a great first step. This way you can work out details before you propose it to the entire organization or the ACE Executive Board.
  • Once the committee and/or Executive Board votes on the collaboration, you will be notified if it passed or not.

Who Do I Contact?

Below is a list of the ACE committees and the type of events they are most likely to collaborate on:

  • Arts & Media: film and movie showings, art exhibits, film festivals, community-to-campus art, poetry (ace_cinemas@unca.edu)
  • Community: social justice and inclusion, equity in action, off-campus student engagement, commuter student engagement (ace_community@unca.edu)
  • Craftworks: do-it-yourself events, crafting, special events, novelty events (ace_craftworks@unca.edu)
  • UNCA Live: live music, bands, concerts, open mic performances, comedians, speakers (ace_uncalive@unca.edu)
  • External Affairs: collaborating with ACE, promoting with ACE, social media, marketing (ace@unca.edu)
  • Internal Affairs: staffing events with ACE general members (ace@unca.edu)
  • Overall organization: large-scale university traditions (Lawn Party), holistic collaboration (ace@unca.edu)

Collaboration Process

  1. Brainstorm your idea. Before beginning the collaboration process, please know exactly what you would like the event to look like. Some things to consider are the following: the date of the event, the time of the event, the location of the event, what will be at the event, the purpose of the event, what you need from ACE, and how you will promote the event. Please have a good idea of what you would like before scheduling a meeting with the ACE Executive Board. If you need help in any of these areas, please email us at ACE@unca.edu.
  2. Fill out the ACE Collaboration Request Form. In order to be continue in this collaboration process, you must fill out the Collaboration Request Form well in advance of the event. ACE typically plans all programs a semester in advance, so to be fully considered for a collaboration, we recommend you request a collaboration the semester prior. Once the form is submitted, a member of the ACE Executive Board will be in touch to discuss next steps and whether we can continue to consider your request.
  3. Touch base with ACE to discuss next steps. Regardless of whether ACE is able to collaborate with you or not, touch base with ACE to discuss what next steps are and what we can do to work together now and into the future.
